The One Document Where Delivery Is the Legal Effect

Most legal papers can be corrected after signature. A notice cannot. Its effect fixes at the instant it is served, and everything downstream is counted from that instant: the cure period, the termination date, the right to file, the damages window, the point at which a tenancy ends or a contract dies. When the recipient could not read what was handed to them, or received a version whose dates did not match the original, service becomes attackable and the clock may never have started at all. Courts unwind evictions on that single point. Employers lose statutory defenses on it. Landlords restart ninety day processes from zero because a translated notice named the wrong Tuesday.

Every Notice That Starts a Clock

Tenancy generates the highest volume. Commercial notices form the second stream. Notice of default translation under a lease, a loan or a supply agreement. When the Statute Names the Language of the Notice

A growing number of American jurisdictions no longer treat translation as a courtesy. California requires that certain agreements negotiated primarily in Spanish, Chinese, Tagalog, Vietnamese or Korean be delivered with a translation in that language, and the obligation reaches rental agreements and much of the paperwork that follows them. New York City has layered its own language access duties onto housing and consumer dealings. Several states impose parallel rules on consumer credit, home improvement contracting and insurance cancellations. Federally funded programs face language access expectations of their own when they notify people of a decision that affects their rights.

The pattern underneath all of it is worth stating plainly: the duty usually follows the language the deal was negotiated in, not the language the document was drafted in. A lease written in English but negotiated across a kitchen table in Korean can pull the entire notice sequence into Korean. So our intake asks that question first, before word count, before the deadline, before anything else. The consequence of getting it wrong is rarely a fine. It is a lost month. The notice is held ineffective, the process restarts, the tenant stays or the employee's claim survives, and the client asks why nobody flagged a rule that has been on the books for years. Cure Periods, Calendar Days and Numbers That Cannot Drift

Three days is not three business days, and a translation that blurs the two has changed the notice. Our reviewers treat every time expression as a controlled field: calendar days stay calendar days, business days stay business days, and where the source language has no clean equivalent the rendering states the basis of the count rather than leaving the reader to guess. The same discipline governs the extra days that some rules add for service by mail, the treatment of weekends and public holidays at the end of a period, and the difference between a period that starts on the day of delivery and one that starts the day after.

Numerals get their own pass. The date 03/04/2026 means March in Cleveland and April in Caracas, so month names are spelled out or the source format is mirrored with a clarifying note, never silently reformatted. Currency figures keep their symbol and their separators intact, because a decimal point read as a thousands separator turns a 4,250.00 arrears demand into something nobody owes. Apartment numbers, unit designations, parcel references and statute citations stay untouched in form, with an explanatory rendering beside them where the recipient needs to understand what is being cited. Addresses are never localized. The tenant has to find the door, and the process server has to match the paper to the file.

Clients who send notices regularly get more than accuracy from this. Their terminology is stored per client, so the phrase your firm uses for a cure period in Spanish this quarter is the phrase it used last quarter and will use next year. That consistency matters when a tenant's file eventually reaches a judge holding four notices issued over eighteen months. Certification That Stands Beside the Proof of Service

A translated notice travels with a paper trail or it travels alone and unprotected. Who Sends Us Notices, and How Quickly They Get Them Back

Property managers and asset teams send the largest batches, often twenty or thirty notices at once at the start of a month, each with a different unit number and a different arrears figure but the same template underneath. Employment counsel and HR directors send the sensitive ones, usually under embargo, usually a week before a reduction in force becomes public. Litigation boutiques send single notices with a service deadline measured in hours. In house commercial teams send defaults and terminations that will decide whether a supply relationship survives. Municipalities and agencies send public notices that have to reach residents in five or six languages simultaneously.

All of them get the same handling. The file goes to a linguist with subject knowledge in that area of practice, not to whoever is free. Volumes are batched so that a run of thirty pay or quit notices costs a fraction of thirty separate jobs, since only the variable fields change and the stored template does the rest. Two things set the word rate: which pair you are translating into, and how heavy the drafting is. Repetition is credited back rather than billed twice. Nothing about that calculation is hidden, and the numbers behind it sit in the open, so an invoice from this desk holds no surprises.

Confidentiality is treated as a condition of the work rather than an add on. Nothing moves or rests unencrypted.
